Outlook - Not Just for E-mail

Microsoft Outlook is a complete PIMS (Personal Information Management System). While you may be familiar with the e-mail messaging, Microsoft Outlook is capable of many other functions. The next few "Tech Tip" articles will focus on these "other" applications in Outlook.

Outlook Calendar

Outlook Calendar can be used like a day runner or desk calendar. One of the advantages of using an online calendar is that others may view your calendar online. Another advantage is Outlook Calendar's ability to make meetings. Outlook can go to the server and check another user's calendar and match your schedule to theirs, alleviating  phone tag, messages and rescheduling appointments.

Setting Permissions

Important: No one will be able to view your calendar, if you do not give them (electronic) permission. To grant other users permission to view your Outlook Calendar;

  • Right click on the calendar icon in the Outlook Toolbar on the right side of the screen. 

  • Select  "Properties". 

  • Choose the tab at the top of the dialogue box labeled "Permissions". 

Default refers to everyone that is on the global address book. The default should be set to Reviewer. Notice in the lower part of the box that the default role is designated as Reviewer  and that a Reviewer can only read items. A Reviewer will not be able to edit your calendar or delete items.

To give a specific person or persons more access to your calendar, you can choose the Add button. This will bring up the global address book. Choose the user(s) you wish to add to your list. 

Then choose the "Roles" options with the drop down arrow to reveal options.

The check boxes under the roles will reflect what additional privileges the user may have.

Privacy Issues

You may have events or appointments occur which you do not want shared with the entire Global Address List. In Microsoft Calendar you can choose to make an appointment private.

To make an appointment private. When you are making the appointment, complete the new appointment dialogue box as you would for any appointment. Before you save and close the item, check the Private check box in the lower right hand corner of the dialogue box. This will add the appointment/event to your calendar, but when the appointment/event is viewed by others, it will show this time as busy, without a  subject.

 Choosing a Good "Search Engine"

Each time I conduct Internet training for teachers, I am frequently asked "Which is the "best" search engine?" I always reply, " the one that works for you". It may sound a bit standoffish, but it's true. What search engine works for one teacher, may not be the best for another. I have composed a list of basic search engines. Try one and do a simple search on a topic. Compare the same search on another engine. Don't forget to use the online help option in the search engine if you are having trouble.
