How To Manage Beginning of the Year Tasks Using Outlook

The new school year will be here before you know it. Staff are often assigned lists of multiple items to complete and deadlines in which they are to be done. Using Outlook Tasks Program, can help.
To access the Tasks Program in Outlook, click on the Tasks Icon on Outlook bar .

To begin a new task:

Click on the first button on the Standard toolbar
Use the shortcut Ctrl+n
Right click anywhere on the Tasks screen
Click on File in the Menu bar then select New
Click on Actions in the Menu bar and select New Task

Remember: Each of these options arrives at the same outcome. Choose the option that is best for you!

Key the subject of the task in the Subject line. Choose a due date by either keying in the date due or by using the drop down arrow at the right of the textbox to select a date using the calendar. There is also an option to set a reminder that will notify the user about the task. 

If more than one person is needed to complete the task; For example, supervisor asks that personnel create a job flyer for a new position. The supervisor can assign the task to personnel to write the job description and have the task completed by a specific time. This can be done using the Assign Task option
in the toolbar. 

The assignor  is the original owner and the assignee is the person to whom the task is being assigned. The assigned Task is sent to the assignee in the form of an e-mail. The assignor, can specify due dates and ask to be kept up to date with status reports. In this example the Assignor is Teresa Lightle and the assignee is the South County Training Facility. 

Once the task has been assigned the assignee will receive an email regarding the task.

The above sample task is from ITS requesting that Teresa Lightle order software. Once The Assignee receives the task he/she has the option to Accept or Decline the assigned task by using the voting buttons on the toolbar. The assignee can also use the Assign Task option in the toolbar to reassign this task to someone else. Once the assignee accepts the task, the task will be added to your Tasks list.
