Using an LCD Projector for PowerPoint Presentations

LCD Projectors are becoming common place in classrooms and boardrooms, but getting them to work when you need them can be frustrating. In this article I will address some of the most frequently asked questions about setting up and using an LCD projector for presentations.

What exactly do I need to be able to get my presentation on the "Big Screen"?

You will need the following items:

  1. A laptop with the appropriate software for the presentation, i.e. PowerPoint.
  • Helpful Hint: It is always best to create the presentation on the same computer you will be using to present. This will cut down on possible conflicts in software versions, screen resolution, hyperlinks, and videos.
  1. An LCD projector, with the power cord, VGA Cable (the cable that connects the laptop to the projector) and remote control.
     
  2. A projection screen or smooth white surface to project the image.
     
  3. Extension cords and power source.

Hook Up and Connection

  1. On the back or side of the laptop is a VGA port which is usually blue. Connect one end of the VGA cable to this port. It does not matter which end, as they are the same but connect this end first.
     

  2. Now look for the exact same type of port on the LCD Projector. Some projectors may have more than one VGA port. The one you need to connect to will either say RGB IN or Computer IN. Plug this end in next.
     

  3. Never force a connection on any device, it should connect easily.
     

  4. Make sure the power cord is connected to the projector and plugged into a wall socket or surge protector.  Turn the power on.   Some projectors have a power switch and a button on top of the projector to turn it on, if so you must do both.
     

  5. Power up the laptop. You should be able to see your windows splash screen on the laptop screen. If the image does not readily appear on the screen, see troubleshooting tips below.

Troubleshooting

I see the presentation on my laptop screen, but it does not project through the projector.

A:  Each laptop may be a little different, but the process is the same. 
     You will need to find out what key or function will “split” the video signal.
     To do this, look at you laptop keyboard and look for a function key which
     reads LCD/CRT or has a picture of a monitor on it.

As you can see in the example below, the LCD/CRT is in blue below the F3 key. This indicates that in order to activate this function the user will need to hold down the Fn key in the lower left corner, and the F3 key at the same time.

The first time the user activates this key combination, the computer image will shift from the laptop monitor to the LCD projector. If the user hits this combination again, the image should show in both locations.

I am using PowerPoint and my video will play in  PowerPoint, but all I see on the screen is a black box.

A:  The video you are playing must be the same resolution as the projector
     you are using. Try lowering the screen resolution on your laptop.

To lower the screen resolution,

- Right click anywhere on the desktop.

- Choose Properties

- Select the “Settings” tab

- Use the sliding scale in the screen resolution box to move
the slider to the left to lower the screen resolution.

- Click on the Apply button.

I can’t hear the sound from my Power Point Presentation

A:  The sound will come from the laptop and the volume must be turned up on
      the laptop in order for your audience to hear. Make sure the volume is up and
      the sound is not set on mute.

-  The volume control on laptops are mostly found on the right side of the keyboard and are again controlled by holding down the Fn Key in combination with the appropriate symbol in color on corresponding keys.

 - In presenting to a very large audience, it may be necessary to use a microphone to amplify the volume.

Other helpful hints for LCD presentations

  1. When doing a presentation using an LCD Projector, make sure you have a welcome slide at the beginning of your presentation.  This will help you look prepared and avoid shuffling through the application when its time to start.
     
  2. Be sure to turn off the screen saver on the laptop, you don’t want it coming on during your presentation.

Finishing Up

After you have completed your presentation, use the remote to turn off the LCD projector. The fan will continue to run, DO NOT UNPLUG until the fan has turned itself off. Doing so can cause the projector to overheat and damage the motor. Once the projector has shut down, you may unplug and return the projector to the case. Be sure to gather the remote, VGA and power cables, so you are ready for your next Presentation.
