Outlook - Creating Sub-Folders

Creating Folders and Sub Folders for your messages

Most of us when we get home from work, remove the mail from our mailbox, look through it and then make some decisions as to what to do with it. If it's advertising I usually browse through it and toss it away. If it is a bill I put it in a basket in my office and if it is a personal letter I may read it and then decide to throw it out or file it. E-mail users need to deal with e-mail the same way. 

Your Inbox serves as your mailbox. Items should be dealt with in a timely manner. If you don't need the message delete it. If the message contains an attachment (for virus information, see Tech Tips February 15, 2002),  you should open the attachment and then save it to your permanent folder on the local server, then delete the message. Keeping attachments in your email folders takes up valuable space in your Inbox. 

To create email folders in Outlook. Be sure your folders list option is active. You can hide and show the list folders by using the button on your toolbar. 
Once the folders list is showing, click on the inbox folder to select it. Go to File in the menu bar, choose New and then New Folder. 

Shortcut:

You can right click once you have selected the Inbox
and choose New Folder. 

The Create New Folder dialogue box appears as pictured. Give your folder a name, and click OK. 

The new folder will appear as a sub folder under your inbox.


 You can create as many folders as needed to keep your email organized.

To move items from your Inbox into your new folder. You can drag and drop the email into the folder or use the Move to Folder icon in your toolbar. 

To view items stored in your folder, click on the folder on the list view.
